When you submit a agent application, we collect:
- Full name and contact information (email, phone number)
- Province of residence
- Immigration and work authorization status in Canada
- Employment availability preference (full-time, part-time)
- Comfort with commission-based compensation
- Credit score range
- Motivation for joining an independent agency (free text)
- Application submission timestamp and qualification outcome
If you opt in on our re-engagement list after a non-qualifying application, we also collect your email address for that purpose.
3. Why We Collect It
Your information is collected solely to:
- Assess your suitability as a agent candidate
- Contact you regarding your application
- Schedule a discovery call if you qualify
- Notify you of future opportunities if you opt in to our re-engagement list
We do not use your information for any other commercial purpose.
4. Legal Basis — PIPEDA
We collect, use, and disclose your personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). By submitting your application, you consent to the collection and use of your information as described in this policy.
5. Who We Share Your Data With
We use the following third-party services to operate the recruitment portal:
- Airtable (Formagrid Inc., USA) — stores your application data in our recruiter dashboard
- Resend (USA) — delivers confirmation and notification emails
- Calendly (USA) — facilitates discovery call scheduling for qualifying candidates
- Vercel (USA) — hosts the recruitment portal
We do not sell, rent, or trade your personal information to any third parties.
6. Data Retention
We retain application data as follows:
- Qualifying applicants (Pass/Needs Review): up to 2 years from application date
- Non-qualifying applicants (Fail): up to 1 year from application date
- Re-engagement email list: until you unsubscribe
After these periods, records are permanently deleted from all systems.
7. Your Rights Under PIPEDA
You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Withdraw consent and request deletion of your data
- File a complaint with the Office of the Privacy Commissioner of Canada

8. Security

Some of our service providers (Airtable, Resend, Vercel, Calendly) store data on servers located in the United States. By submitting your application, you acknowledge that your information may be processed outside Canada and subject to the laws of that jurisdiction.

We may update this policy from time to time. The effective date at the top of this page will reflect the most recent revision. Continued use of the recruitment portal after changes constitutes acceptance of the updated policy.
